Title: Senior Office Administrator
Accountable to: Chief Executive
Accountable for: Finance / Administration / Quality

Roles and Responsibilities:

  • Operational Control of Finance, including authorisation of expenses. Maintain accurate computerised records of all financial transactions, Prepare cheques for signature, process payments on due date, generate invoices as & when required, process payments received & bank as required.
  • Reconcile all Bank Accounts. Produce accurate Budget Forecasts and monthly cash flow information. Liaise with Company Auditors in the preparation of Inland Revenue, Companies House, Charities Commission returns, and year-end Accounts.
  • Assist in the production of Business & Strategic Plans.
  • Produce Management Information from various data sources as per STEGTA Management Information. Summary to include recruitment & analysis, retention & achievement, early leavers, recruitment, applicants to the programme and staff targets. Support Chief Executive in the analysis of information produced.
  • Supervision of Administration Assistant – Monitor workload, deliver training as required. Conduct monthly Staff review.
  • Support the Administration Assistant in the setting up of new learner files, and the processing of learner documentation, including appropriate ESFA paperwork & database entries. Maintain up to date knowledge of ESFA paperwork and practices and ensure all ILR period end returns are submitted on time using MAYTAS.
  • Profile income from ESFA Contract and monitor progress against Contract. Reconcile ESFA payments and adjust profiles as necessary. Forecast future learner numbers & revenue generated from ESFA Contract and Bids.
  • Co-ordination of Quality activity as per the Quality Management System. Review and update policies, procedures and paperwork in liaison with the Quality and Contract Manager.
  • Undertake regular quality assurance audits on the in-house learner database and learner files.
  • Work closely with subcontractors/colleges to co-ordinate the enrolment process, progress and review.
  • Review apprentice and employer feedback/surveys and collate sub-contractors quality documentation.
  • Conduct regular quality monitoring visits of sub-contractors, in liaison with the Quality and Contract Manager and Group Training Manager.
  • To support the association in ensuring learners, employer staff & sub-contractors adhere to our equality of opportunity policies and procedures.

JOB DESCRIPTION – TRAINING OFFICER

ACCOUNTABLE TO: Group Training Manager

ACCOUNTABLE FOR:

  • Monitoring visits to companies to ensure that training conforms to recommended standards.
  • Liaising with external bodies on training and associated subjects.
  • Monitoring learner’s objectives, training, general safety awareness and welfare.
  • Maintaining knowledge of up-to-date policies and practices of the industries lead bodies and the local ESFA.
  • Representing the association at various functions including careers exhibitions etc. as required.
  • Liaising with various colleges and staff.

JOB CONTENT:

  • Produce and maintain Individual Learning Plans & Tracking Sheets
  • Visit all designated companies on a regular basis i.e. not greater than every 8 weeks, to Monitor and Assess qualification progress to the performance criteria set and Assess competence when required.
  • Carry out H&S suitability checks within Companies.
  • To support the association in ensuring learners, employer’s staff & sub-contractors adhere to our equality of opportunity policies and procedures.
  • Identify and develop new systems and paperwork to improve efficiency and effectiveness of the key processes.
  • Maintain learner’s personal files both electronically and manually.
  • Conduct site visits with Learners were appropriate to carry out monitoring of safety and qualification progression.
  • Effectively complete associated Learner documentation in line with the organisation’s policies and procedures

STEGTA Excellence Award 19 – Emily Allcock

We would like to Congratulate Emily Allcock who is employed by ARUP in Manchester, as she has been awarded a STEGTA Excellence Award for Outstanding Performance in Civil Engineering.

We asked Emily how she felt about winning the award.

“I have always been intrigued with the built environment, new constructions and developments.

I chose a career in engineering as I wanted to be a part of designing and adapting buildings and structures with innovative ideas.

I have always had an attraction to buildings and how their stability structures work, particularly with such complex architecture and requirements.

I am grateful for the support Tim had given me throughout my Level 3 apprenticeship, ensuring I was significantly progressing and developing to complete my Level 3 NVQ.

Constructive feedback from Tim allowed me to enhance my skills and constantly progress to become more confident in my work and career. The encouragement I was given from Tim and Arup is invaluable.

I was BIM lead on the Royal College of Physicians (RCP) project, a new commercial office development which will accommodate Liverpool City Council and the Royal College of Physicians in the knowledge quarter. This project is one I am most proud to have worked on. I gained most of my technical knowledge during my experience on this project which I will carry through my career.

Following on from the completion of my Level 3 Apprenticeship, I am now studying a level 6 degree apprenticeship in Civil Engineering with the aspiration to become a chartered Structural Engineer”.

Emily’s Training Officer – Tim Harding commented “It has been a pleasure to support Emily throughout her Level 3 Apprenticeship. Her NVQ work has always been of an excellent standard and it was clear that she was diligent and enthusiastic. Emily transferred from the Manchester office to the Liverpool office where she thrived and has gone from strength to strength. She has been involved in the design of some major projects and assisted with the induction of new Apprentices. I’m sure Emily will continue to develop her skills as part of her Degree studies and I wish her every success for the future”.

STEGTA Excellence Award 19 – Laurentiu Pogan

We would like to Congratulate Laurentiu who is employed by Oliver Valves, as he has been awarded a STEGTA Excellence Award for Outstanding Performance in STEGTA Training Centre.

We asked Laurentiu how he felt about winning the award.

“Firstly I would like to say that I was really honoured to receive the Stegta Award. I am grateful for the recognition!

I have faced several challenges along the way but with the help of Dave and Eddie from the STEGTA Training Centre and also my manager Mel Stelfox from Oliver Valvetek LTD for which I have the deepest respect. I won this award for my project of the cube in a cube, in a cube.

STEGTA Training Instructors commented:

“Laurentinu is an older apprentice and is originally from Romania. He came into the Training Centre to do Hand Fitting, Milling and Turning. He would come into the Training Centre with a mentality “like a dry sponge” and would take everything in. He remained the same from start to finish. Once his basic training was completed he was given a “Stretch & Challenge” piece to do. He chose the Cube in a Cube on the lathes. (Pictured).

He found the drawings online and went ahead to make it without any problems. He even fashioned a stand for it!

Although this may not warrant an award, it must be stressed that his first language is Romanian and even though he could speak broken English, his writing was not the strongest, but that made him even more determined. His Level 2 portfolio is of a high quality and he changes the atmosphere with his bright and cheery attitude. He had to be slowed down; he would race ahead and complete his work whilst everyone else was halfway through the task”.
