STEGTA Senior Administrator role

Title: Senior Office Administrator
Accountable to: Chief Executive
Accountable for: Finance / Administration / Quality

Roles and Responsibilities:

  • Operational Control of Finance, including authorisation of expenses. Maintain accurate computerised records of all financial transactions, Prepare cheques for signature, process payments on due date, generate invoices as & when required, process payments received & bank as required.
  • Reconcile all Bank Accounts. Produce accurate Budget Forecasts and monthly cash flow information. Liaise with Company Auditors in the preparation of Inland Revenue, Companies House, Charities Commission returns, and year-end Accounts.
  • Assist in the production of Business & Strategic Plans.
  • Produce Management Information from various data sources as per STEGTA Management Information. Summary to include recruitment & analysis, retention & achievement, early leavers, recruitment, applicants to the programme and staff targets. Support Chief Executive in the analysis of information produced.
  • Supervision of Administration Assistant – Monitor workload, deliver training as required. Conduct monthly Staff review.
  • Support the Administration Assistant in the setting up of new learner files, and the processing of learner documentation, including appropriate ESFA paperwork & database entries. Maintain up to date knowledge of ESFA paperwork and practices and ensure all ILR period end returns are submitted on time using MAYTAS.
  • Profile income from ESFA Contract and monitor progress against Contract. Reconcile ESFA payments and adjust profiles as necessary. Forecast future learner numbers & revenue generated from ESFA Contract and Bids.
  • Co-ordination of Quality activity as per the Quality Management System. Review and update policies, procedures and paperwork in liaison with the Quality and Contract Manager.
  • Undertake regular quality assurance audits on the in-house learner database and learner files.
  • Work closely with subcontractors/colleges to co-ordinate the enrolment process, progress and review.
  • Review apprentice and employer feedback/surveys and collate sub-contractors quality documentation.
  • Conduct regular quality monitoring visits of sub-contractors, in liaison with the Quality and Contract Manager and Group Training Manager.
